What weekly systems should you have in place for your digital business and how can you maintain them? I’m excited to dive into that with you today.
I’m going to give you five real easy ways that you could work on systematizing your business this week.
But first why? Should we worry about systematizing our business.
How is this connected to our goals and to the future that we see for our businesses?
The reason why systematizing is so important is because scalability and growth in our businesses can only happen one of two ways.
Number one: you do more.
Number two: you figure out who or what will do the work for growth?
Those are really the only two options that you have if we want to grow a business.
Why You Doing More Doesn’t Work
Obviously the first one, we know where that doesn’t work in the long run. We are a finite human beings. We only have so much time to vote her business and oftentimes doing more, just isn’t even possible.
How To Figure Out The Right Systems For Growth
So the second point is what I call the process of building systems. Basically leveraging your time. To accomplish more in your business.
Do this by organizing tasks and operations to create workflows that are auto running without our necessary involvement.
Some things you might need to think about systematizing for future growth could include:
- content creation
- social media
- customer service
- follow ups with customers
- admin responsibilities
- product development
- inventory…
The list could go on-and-on of things that you could actually systematize in your business.
It’s a good practice to sit down and try to write through some of these things for your own business today.
Even if you can’t come up with a plan for systematizing everything today, it’s still good to know what kinds of things you can work towards. It will get your digital business set up best for moving forward.
5 Ways To Build Digital Business Systems
Now we’re going to talk about how to practically systematize your digital business.
What Is Necessary Now?
The first step is determining everything that is necessary for your current business to function.
So you’re gonna need to make a list or map this out.
What is the growth trajectory & how will that change your tasks?
Next, you’re going to need to think through your next stage of growth. What things will need to be added to this list.
If you have say more audience or more customers, more inventory to systematize more revenue, et cetera. You want to set up systems that are going to grow with you. So don’t just think about where your business is today. Think about where you want your business to be in the future and build those systems.
Who or What Can Do This?
Now we need to ask the age old question of not how do I do this, but who does this?
Who are what service app or person could take on this role?
What Will This Require Of You?
What will that require of you in time, money and resources.
Come Up With 3 Separate Ideas
I will challenge you when you’re coming up with these systems for your business.
To think through three possible solutions for the issue, even if one of them seems totally obvious. You’re going to build a better system if you honestly research all of the possibilities.
An Exercise To Find The Right Systems
So even if you’re like, there’s, this is the system that goes with this, I just know that still take the time, do the exercise of just.
Getting out a blank piece of paper and writing out three solutions for every part of your business that you need to be systematized.
So I’m gonna give you an example.
I run blogging base content businesses.
So if I want to scale my content creation for my businesses, here’s the three different things that I could sit down and brainstorm through.
- Number one – I think this would be the one that I would just think of off the top of my head, hiring an assistant who can assist me in creation zones that I’m not great at.
So for instance, photography or copy editing or SEO to make the content creation process go faster and to allow more growth in that area. But I’m going to force myself to keep brainstorming and think, well, what would be other options?
- Number two – I could outsource the job fully to a higher content creator who had produced the content without my involvement at all.
Theoretically, I could hire as many of these as I could manage to pay for, which would allow me to grow my content creation and my business exponentially.
- Number three – I could develop or use AI based software or some form of like user generated system that could work to grow content on my site.
That is different than what I currently have on the site. This would enable a different type of scalable content growth.
In that exercise, I started with the most obvious, but then I forced myself to think through what are some other ways that I could systematize this?
One of these options will jump out to you as the right one real quickly.
However, the process of stretching our brains to think through solutions that aren’t always obvious in our business can help us to develop new growth strategies that we maybe would’ve never thought of before.
Something like… could I create technology that would pull in user generated content? Well, that might be actually a really cool thing to explore that I would have never even thought of before this exercise.
Had I not forced myself to really think through the different systems.
This exercise ensures that you’ve looked at all the options before picking out what systems you’re going to pursue.
What if you have a product based business?
If you have a product based business:
- there are softwares you can to systematize your inventory management.
- There’s an operations position you can actually hire to run an inventory system.
- Or you could start working with a three PL that could do more of this work for you.
It’s really the process of thinking through what are all the options I have to systematize this.
For every task or issue that comes up, we must remember as business owners, there are many options for solving it!
And sometimes as the first option we think about isn’t always the right one. It’s hard to know what to systematize though, until you have business goals, set and tasks and accomplish these goals written down.
If you need help with this, my yearly business planner is a great resource that you can use. It comes with audio instructions to make this process easy and really manageable for you to figure out. In them, I walk you through a system to map out where you are now – where you want to be – and what you need to do to get there.
So go through this exercise for all the different areas of your business and think through what your own systems will look like.
Build & Maintain Systems Consistently
This is where I think this area is going to grow this next year. How can I build a system that will grow with me and allow me to be able to see more exponential advancement in my business without requiring more and more of my time and my input.
Because remember, we are all finite business owners.
We only have so much to give to our businesses. So finding out ways to leverage that… Is actually a lot of the work of being a digital business entrepreneur and a CEO.
Now after you’ve broken things down in your business. You’re gonna need some great resources to kickstart these systems into motion. Visit our resources page right here – Where I’m going to be listing out options for growth.
There’s so many new resources and software options coming out every day to do different parts of our business.
For instance you’re hearing this podcast because I use a service called Descript.
Which has been like the most life-changing way for me to be able to produce content is allows me to speak into it, to have video, to have written templates. It pulls short form content for reels, and it’s really helped me to systematize my content production for this type of a business.
No matter what your businesses are, resources there to help you.
And some of them might really be worth pursuing.
The last focus needs to be monitoring how these systems are working and adjusting as necessary.
When you build a new system, it does necessitate more involvement from you at first because you’re setting it up and getting it going and testing it.
But as you grow and evolve, your systems will grow and evolve too, and be more and more hands-off for you.
This frees up your time to do what you do best in your business!
Whether that’s product development or content creation, or just being present with your audience. It allows you to be able to function in your genius zone, which is going to help everything to grow so much faster.
I hope that this was a helpful exercise in building your own systems for your for your digital business.
